When your department sets up Scenelight, we collect names, email addresses, phone numbers, and role assignments for department members. Account administrators provide department details such as department name, address, and contact information.

Operational Data

Through normal use of the platform, we collect incident report data, time tracking records, truck inspection logs, chat messages, calendar events, billing records, and uploaded files. This data is owned by your department and is stored on your behalf.

Usage Data

We automatically collect technical information such as IP addresses, browser type, device type, and pages visited. This information helps us maintain and improve the service.

3. How We Use Your Information

We use collected information to:

  • Provide and maintain the Scenelight platform and its features
  • Authenticate users and manage account access
  • Send service-related communications (e.g., SMS reminders, notifications)
  • Generate reports and analytics for your department
  • Improve our services and develop new features
  • Respond to support requests and inquiries
  • Comply with legal obligations

4. Data Storage and Security

Your data is stored on secure servers hosted by Amazon Web Services (AWS) in the United States. We employ industry-standard security measures including:

  • Regular automated backups with cross-region replication
  • Isolated database environments per department (multi-tenant with tenant-level data separation)

We do not sell your personal information. We may share data with the following third-party services that help us operate the platform:

  • Amazon Web Services (AWS) — Infrastructure and hosting
  • Okta — Single sign-on authentication
  • Stripe — Payment processing (for departments using billing features)
  • Telnyx — SMS notifications and reminders

We may also disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Scenelight, our users, or the public.

6. Cookies and Tracking

Scenelight uses essential cookies to maintain your session and remember your preferences. We do not use third-party advertising cookies or tracking pixels. We may use basic analytics to understand how the platform is used in aggregate.

7. Your Rights

You have the right to:

  • Correct inaccurate or incomplete data

We retain your data for as long as your department's account is active. If a department cancels their account, we will delete all associated data within 90 days, unless retention is required by law. Automated backups may retain data for up to 30 additional days after deletion.

Scenelight is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify account administrators of significant changes via email. The "Last updated" date at the top of this page indicates when the policy was last revised.
